How does the Availability Alert work?

Journey AI Alerts is an AI-based tool to inform multifamily prospects about price drops and the availability of floor plans. Below is the overview of how availability alerts work.
  • The audience of the floor plan availability alert is the prospects who have expressed interest in renting a specific apartment unit.
  • The alert email is sent when the requested floorplan becomes available so the prospect can apply to lease the specific unit or schedule a tour for the apartment unit.
  • The information in the alert is about the floorplan, such as the bedroom type, size of the unit, price of the unit, available data, and the floorplan image. 
  • Prospects can use the CTA button available in the email to apply for leasing or scheduling a tour.
  • The Journey AI Alerts access the prospect information from Hyly. AI CRM. When a prospect subscribes for marketing email/SMS on the property website, their details get added to Hyly.AI CRM.
  • Journey AI Alerts access floor plan availability information from the property PMS, updated automatically in the Hyly.AI system. Following are the steps to access floor plan availability in Hyly. AI system;
a. Navigate to https://accounts.hyly.app, log in to your hyly account and click Sub-Org.
b. Go to Sub-Org Edits and click Units.
c. Select the Units and scroll down to check Unit Occupancy Status. If the status is Vacant, an alert can be triggered.

  • To check availability alert automation, follow the steps below.

a. Go to Automation and select Trigger Email.

b. Select the Email and click the Edit button.

c. You can see the Unit availability automation is turned on for the email and can amend other fields.

  • The following are the essential features of the Availability Alert Email Template;

a. The email template is dynamic; it shows details that change based on unit availability.

b. It pulls floor plan images for available units from the sub-org.

c. If no floor plan image is available, it shows the Image coming soon.

d. The CTA button adapts for each lead.

      • For new leads whose status shows Active, Agent Ready, Waitlist, Auto Nurture, etc., indicating they have not toured, the button says Schedule a Tour and links to the tour scheduler.
      • For other leads whose status indicates they have toured already, the button says Apply Now.

e. Email can show up to 3 available floor plans. If multiple floor plans are available, the system chooses the lowest-priced plan of each type and consolidates the details of all plans into one email.
