When prospects schedule a tour, reschedule, cancel, or complete a tour, they receive a confirmation email. They also receive reminder emails. All of these emails are no-lift and automatically sent from Hyly. These emails are called autoresponder. In this article, we will talk about how you can customize these autoresponders.
There are 6 different tour autoresponders as follows:
- Tour Scheduled: A confirmation email is sent when a prospect books a tour.
- Tour Rescheduled: A confirmation email is sent when a prospect rescheduled a tour.
- Tour Cancelled: A confirmation email is sent when a prospect cancels a tour.
- Tour Completed: A confirmation email is sent when the prospect completes the tour.
- Night Before Tour: A reminder email is sent on the previous evening of the scheduled date.
- No Show: A No Show email is sent when the prospect misses a tour.
Following are the step-by-step instructions to set up tour autoresponder emails:
The auto-responders can be edited on org levels only. In case you want to make any changes please send an email to support@hy.ly.
a. Log in to https://accounts.hyly.app and navigate to the Automation app.
b. Click on the Playbooks drop-down and select the Lifecycle Plays page.
c. Go to Touring Automations Section, hover over any of the arties, and click on Edit.
d. Click on Notify Prospect artie and click on In Person Tour.
e. Hover on to the email and click on Edit.
f. You will be directed to the Email Body page.
g. Here you can add, edit or delete the different email slices such as Header, Body, and Footer.
h. You can see the preview of your email on the right hand side panel.
i. Make sure to click on Save Changes once you have edited the email as per your requirement.
i. Next, it will take you to Email Header section.
j. You can change the email's subject, the pre-header of the email, etc.
k. Click on the Update button to ensure the changes are updated.
l. Next, you can send a test email to your email address under the Send a Test section to make sure all the changes you made are reflected in the final email.
m. You need to enter the email address to which the test email will be sent.
n. You can also change the Subject line prefix of the test email.
o. You may add comments.
p. Select the lead info you would like to use and click Send.
q. Finally go back to the When Then page of the automation, and then click on Save Changes.
s. Repeat the above-mentioned steps to edit all the other tour responders: Night Before Tour, Tour Rescheduled, Tour Cancelled, No Show, and Tour Completed.
