How do I manage tour notifications for prospects?
You can set up automation to keep your prospects updated about their tour appointments from the moment they schedule their tour to the night before.
Following are the step-by-step instructions to manage Journey AI Tours prospect notifications under the Automation app.
a. Log in to https://accounts.hyly.app and navigate to the Automation app.
b. Click on the Playbooks drop down and select the Lifecycle Plays page.
Lifecycle Plays is where your automations are created and edited. Automations, also called Arties, operate on a When / Then setting: For example, when a prospect schedules a tour, you can create automations to notify the Prospect when their appointment has been submitted.
c. Go to the Touring Automations section.
d. Hover your cursor over the Tour Scheduled automation and click the Edit button.
e.You will be taken to the When Then page. To set up the automation, you need to update WHEN and THEN settings from your left side panel.
f. Click on WHEN – Tour Scheduled, go to the bottom at Trigger Frequency.
g.Ensure Trigger Frequency is set as Trigger every time event occurs.
h. Click on THEN – Notify Prospect, select Action Item as Post Submit from the dropdown menu.
i. You can preview the automated email that will be sent out when a new prospect schedules a tour at the bottom.
j. Update Action Time and click Save Changes.
While you are setting up an automation, Action Time field gives you the option of changing the days when certain actions will trigger. For example, you can choose to have the “Notify Prospect” to be sent the day after a prospect has scheduled their tour. Just enter in the 1 under the Action Time section, but if you want to sent the notification immediately after the prospect schedule their tour enter 0 under the Action Time section .
You can follow the same steps to update the automation for Tour Reminder, Cancelled, and Reschedule notification also.
