How do I manage Journey AI Tours automation?


In your Automation app, you can create or customize Arties to automatically keep prospects informed when they schedule tours. There are several pre-made options for Journey AI Tours automation.
  • Automation for when a tour is scheduled, rescheduled, or canceled.
  • Tour Reminder automation to remind prospects about their tour appointment the night before.
  • Tour Completed automation sent to prospects post-tour to keep in touch if they still have questions.
  • Tour Not Closed Out automation will remind agents of any tours they must close on their calendars.
 

In this guide, we will go over the pre-made automation you can select from using the Journey AI Tours app.
 
 

a. Log in to  https://accounts.hyly.app and navigate to the Automation app. 

b.  Click on the Playbooks drop-down and select the Lifecycle Plays page.
c. To create a new automation, click the  icon in the top right corner of the page.

These automations can be set up in two ways:
  • Under each property (the automation will only exist under that property).
  • Under the general organization level (the automation will automatically be under the Automation app's Life Cycle Plays section). 
 
 d. Once you click the + icon, it will take you to the Artie Template page.

 Below is an overview of all Tour Automations that are available in Hyly.
 

a. Tour Scheduled:

  • This automation will be set to go off when a prospect schedules a tour, at which point several actions will happen.
  • After a tour is scheduled, a prospect will receive an automated email confirming the date and time of their tour.
  • An agent will also receive an automated message about the newly-scheduled tour with its details.

b. Tour Rescheduled:

  • If a prospect decides to reschedule their tour, this automation will activate once they go through with this action.
  • A message will be automatically sent to the prospect confirming the date and time of their newly rescheduled appointment.
  • An agent will also receive an automated message about the rescheduled tour.
 
 
 
 
 

c. Tour Canceled:

  • If a prospect decides to cancel their tour, this automation will be activated.
  • A message will automatically be sent to the prospect confirming that their appointment has been canceled.
  • An agent will also receive an automated message about the canceled tour.

d. Tour Reminder:

  • The night before a prospect’s tour, this automation will send a message to the prospect, reminding them not to forget that their tour is tomorrow.
  • An agent will also receive an automated message about the tour appointment tomorrow.

e. Tour Completed:

  • When an agent marks a prospect’s tour as complete, this automation will activate and send an automated message to the prospect, thanking them for touring and asking them to reach out if they have any questions or comments.

f. Tour Not Closed Out:

  • If a tour that recently happened was not closed out under the Journey AI Tours calendar, this automation will be sent to an agent, reminding them that they will need to close out the tour.
